Commercial Building Preventive Maintenance Schedule
Updated November 6, 2026
What Is a Preventive Maintenance Schedule for a Commercial Building?
A commercial preventive maintenance schedule lists each building task by interval. Monthly: extinguisher checks, emergency light tests, HVAC filters and a walk-through. Quarterly: HVAC service and sprinkler checks. Twice a year: roof inspection and seasonal HVAC start-up. Yearly: fire alarm, sprinkler and backflow tests, elevator tests and panel checks. Manuals and local rules can require more.

The best schedule is short enough that people actually follow it. Start with safety and legal items, then add what protects your most expensive systems.
Add what your equipment manuals, insurer and lease require.
Give every task an owner: staff member or contractor.
Put dates in a shared calendar or work-order system.
Keep each report; a task without a record is hard to prove later.

Items That Are Often Missed
Backflow test deadlines set by the water utility
The 90-minute annual emergency light test
Roof drains, until a ponding leak appears
Five-year sprinkler and elevator tests
Expired contractor insurance certificates
Who Decides the Rules
NFPA and ASME publish model standards, but your state, city, fire marshal and insurer decide which edition applies and can add to it. Ask them when in doubt.
