Heating, ventilation, air conditioning and refrigeration installers and service companies, including rooftop units and service agreements. Use these questions on every call so the answers are comparable.
The Questions
- Do you take commercial work, and do you service buildings like ours?
- Can you send a certificate of insurance naming us as additional insured?
- Are your technicians EPA Section 608 certified to handle refrigerant?
- Do you service our equipment type and brand (rooftop units, chillers, boilers)?
- What does a service agreement include, visit by visit?
- What is your after-hours response time and rate?
- Do you keep common parts on the truck for our units?
- Will you give us a written condition report after each visit?
Tips From Common Practice
- Change filters on a schedule set by your dust load, often every 1–3 months.
- Keep a list of every unit with its model, serial number and age.
- Compare repair quotes against the unit's age before replacing it.
How Often to Schedule
Facilities usually schedule HVAC contractors at least twice a year, before cooling and heating seasons. Your lease, insurer, local code and equipment manuals can require more, so check them first and add the dates to your preventive maintenance schedule.
Then line up offers in the quote comparison tool, and see how to verify a license and insurance.
